5 Steps to Eliminating Time Wasters and Increase Your Profits

Time. It’s the most precious asset we have as entrepreneurs and the one thing we can’t get enough of. Many service professionals struggle with using their time effectively and find it hard to consistently market the way they should. While we can’t literally add hours to our day, we can use the time we have much more efficiently so that on a daily/weekly/monthly basis we are connecting with ideal prospects that want and need what we have to offer.

If you want to change the results you are seeing in your business, you have to change your actions. The truth is, you DO have the time to market consistently. You just need to “buy it out” from other activities and use it to work towards your goals. Follow these five steps to eliminate the time wasting activities that are holding you back from success:

1. Be honest with yourself. You won’t be able to overcome this challenge until you acknowledge how you’re wasting time. Take stock of your work day. Are you chatting with family and friends? Watching television? Surfing the web aimlessly? Running errands? These are all time wasters that can eat up your productivity, which is cutting into your profitability. Once you identify how you’re currently using your time, you’ll be able to see which activities are eating up your work day.

2. Identify the cause. What are the real reasons you’re wasting time? Are you getting distracted by having your email inbox open and responding to each message as it arrives? Do you have a social media tool that pings each time there is a new update? Are you wasting time looking for things because your office isn’t organized? Identifying the underlying causes of your distractions will help you find solutions to eliminate them.

3. Makeover your mindset. Nothing in your business is going to change unless you change your mind. Starting today, make a decision to do things differently. Own the fact that you’ve been wasting time – don’t make excuses about it. Take charge and break out of your comfort zone – push yourself to make changes so that you can see the results and revenue that you want. Set your mind on making these positive changes and choosing to use your time wisely.

4. Redefine how you spend your time. You can’t run your business efficiently if your day is haphazard and unscheduled. Get strict about how you spend your time. Use your calendar and set (at least) weekly appointments with yourself to market your services. If you can manage some time at the beginning of each day, that’s even better. Block out that time on your schedule and spell out exactly what you’ll be accomplishing during that time.

5. Set up systems and accountability. Be clear with friends and family members that you’re not available during working hours. Set specific times when you’ll check your email – and keep it closed until then. Consider working with a marketing coach so that you can break down your projects into manageable tasks. Implementing these steps will help you progress toward your business goals day by day and week by week and have a mentor to be accountable to.

As you start to put these steps into effect, you’ll realize that you DO have enough time each week to market your business consistently! By evaluating your current schedule, eliminating time wasters and changing your mindset you’ll be in prime position to make the important changes you need to make in order to support your business goals and create a more profitable enterprise.

Your Action Plan:

  1. Take note of where you’re wasting time during the day. If you need to, keep a time log so you can see just where your time is going for one week.
  2. Identify exactly which activities are taking you off task. Eliminate instant alerts and other distractions so you can stay focused on the task at hand.
  3. Make a decision to change your ways! Don’t make excuses for yourself – accept your past mistakes and decide to embrace better habits going forward.
  4. Schedule time each week to implement the next piece of your marketing plan. Set aside blocks of time each week, or each day, and spell out exactly what you’ll be doing to grow your business during that time.
  5. Set up systems and accountability. Let friends and family know you’re unavailable during business time. Only check your email at three specific times during the day. Get setup with a marketing coach to keep you accountable

    I’ve said to Sydni more than once — that it is some sort of fate that she has “HART” as part of her name.  She’s got a big HEART. And just so happy to host her at the Cafe today.

    I find the challenge for big-hearted coaches and conscious entrepreneurs is that we tend to be big on Spirit, and creativity and “flowing” with life.  But to have the freedom we  crave we also need to bring in the discipline (some YANG to our YIN).  You gave some great tips in this article.

    Good Morning Ladies – Sydni, as usual great ideas…I think accountability is a big one with me I start on a “marketing journey” and if it doesn’t work within a month I get discouraged and already want to move on to the next idea. It’s tough for me to get out in person so I guess I need more consistency in my online marketing. I guess I need a coach lol

     Hello Stephanie!  Thanks for your note.  I recently heard from a wise resource  (Suzanne Falter-Barnes) that you need to give a “platform” at least 12 months.  That felt right to me.  Enough time to allow for failures, move through our own doubts and really give it a whirl.

    I also just remembered that is was Michael Port who inspired me to take the Soul-filled Cafe from a monthly event to weekly. 

    And what did I need to do that?  Systems!  

    And it’s been one of the best moves I’ve done for the Cafe.  The energy of weekly is so different from monthly (where it felt like restarting an engine each month.)

    Hi Nancy,

    It’s great to meet you! That’s a common challenge we face as service professionals. (Like the Cobbler’s children have no shoes. :)  

    What has worked REALLY well for me is to start my day and my week with marketing tasks. Client projects, emails, voicemails and other tasks are very loyal. They stay right on our desk waiting for our attention. So before you get your day started, or better yet, your week started on Monday, can you block 2-4 hours to work on your own marketing tasks? You’ll be amazed at what you accomplish in a short period of time if you give yourself a dedicated block of time to work on your marketing, without being distracted by other activities.

    Hi Stephanie! Thanks so much for stopping by! Accountability is critically important for all of us, self included! :)  Consistency is key with any marketing strategy you pursue, but before setting out, it’s good to set some specific goals, break the goal down into manageable action steps and choose your activities accordingly.  Coaching would definitely help you to stay on track with the task at hand. Without someone to reign us in, and left to our own devices, we’re all likely to randomly chase ideas without gaining traction.

    Well said Heather! Patience is really important, especially for your mindset. There is no “magic pill” to success in business. Also, you have test out your marketing strategies, see what’s working and what’s not and make tweaks along the way. All of that take time. Often longer than we initially think it will. That doesn’t mean you’re doing anything wrong, or it’s not working. Rather, that you’re giving it time to work! :)

    Absolutely Nancy! Actually you are your most important client! Think about it. If you don’t make time for marketing, you won’t be creating visibility for your work and attracting new leads. And without new leads, you won’t get new clients. No clients = No money = No business. So “hiring” yourself is a REALLY good thing! :-)

    I’m actually soooo relieved to be reading this today rather than last week… something seemed to click inside me late last week and suddenly a whole slew of things that were piled up and not working have suddenly and miraculously sorted themselves out in record speed. Do you know what I mean? Love it when that happens.

    I was feeling too overwhelmed to even have the energy to do things so that I wouldn’t be overwhelmed… anyone ever get in that predicament?Anyway – I now have the SPACE and enthusiasm and energy to *really* focus on systems now, and I’m going to begin your suggestions straight away.     Thanks Sydni! I’m a bit late getting back to the discussion here, but wanted to thank you for your lovely reply! And I’d love the chance to waffle on about my upcoming goals ;)

    1) 6.5 week workshop-teaching-roadtrip with my 2 kids beginning in 4 weeks – joined by my wife half-way through… Toronto – Houston – Florida – up the east coast – Nova Scotia. Yay!

    2) the new website up by end of June

    3) In my biz, I focus on the lifestyle potential for entrepreneurs and those wanting to be… BUT I’m just beginning to sink my teeth into a possible project focusing SQUARELY on entrepreneurs with families… zooming back to view their whole family life together as a big project in which their work can be something that brings them together and makes family dreams happen, vs something we go away every day to do apart from our families… (still working on the languaging of this, as you can see – lol)
